How to Compress a PDF

PDF compression can help when a document is too large to email, upload or store. The best method depends on what the PDF contains. A file made mostly of scanned pages or photos may shrink significantly, while a text-based PDF that is already optimized may change very little.

Choose a compression level

  1. Open the Compress PDF tool.
  2. Select the PDF and choose Maximum, Balanced or Light.
  3. Run the operation and compare the output size with the original.
  4. If the result is larger, keep the original or try a different level.

Understand the trade-off

PDF Engine's current compression method renders pages as images and rebuilds a PDF from those images. This can reduce the size of scanned or image-heavy files, but text in the result is no longer selectable or searchable unless OCR is performed separately. Fine print, diagrams and small text can also lose detail at stronger settings. This is not the same as lossless optimization of every embedded object.

How to check quality

Open the result at normal and high zoom. Inspect small text, signatures, charts, barcodes and any page that contains important numbers. Check the page count and orientation too. For documents that must remain searchable, accessible or suitable for legal review, keep the original and use a workflow that preserves text or applies OCR.

Privacy and limitations

Processing runs in the browser, and large files may require substantial memory. The browser still downloads the code libraries used by the tool. If compression fails or does not save space, that does not necessarily mean the PDF is broken; the source may already be optimized or contain content that cannot be reduced much by this method.

Try the Compress PDF tool and compare both the file size and visual quality before sharing.
